About the Opportunity
Reporting to the Executive Director, Impact Missions, you will play a critical role in enabling the successful delivery of strategic priorities across the portfolio. As a trusted partner, you will provide high-level executive, operational and financial support, ensuring the Executive Director and leadership team can focus on driving impact.
Working in a fast-paced and dynamic environment, you will manage competing priorities, coordinate key business activities and exercise sound judgement, discretion and initiative to keep operations running smoothly. You will also collaborate closely with stakeholders across Minderoo, contributing to a high-performing team culture and championing our values.
Key Responsibilities:
- Manage the Executive Director's inbox, diary and correspondence, ensuring priorities are effectively coordinated and actioned.
- Coordinate complex domestic and international travel arrangements.
- Provide executive, administrative and operational support to the Executive Director and Impact Missions leadership team.
- Monitor budgets, process financial transactions and support forecasting and reporting activities.
- Coordinate team meetings, reporting requirements and action tracking.
- Research, investigate and follow up matters on behalf of the Executive Director, exercising sound judgement and discretion.
- Provide flexible support for priority initiatives, events and high-profile activities.
- Build strong working relationships across Minderoo and contribute to a collaborative, high-performing culture.
About You
You are a highly organised and proactive professional who thrives in a fast-paced environment. You are adept at managing competing priorities, anticipating needs and working with a high degree of autonomy. With exceptional attention to detail and strong interpersonal skills, you build trusted relationships and confidently navigate sensitive and complex matters.
You will bring:
- Demonstrated experience in an Executive Assistant, Senior Administrator or similar support role within a complex organisation.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, SharePoint, Excel and PowerPoint.
- Strong financial administration experience, including budget monitoring and transaction processing.
- Exceptional organisational, planning and time management skills.
- Strong stakeholder engagement and communication skills, with the ability to work effectively across all levels of an organisation.
- High levels of professionalism, discretion and confidentiality.
- A collaborative approach and commitment to fostering a positive team culture.
