Overall Function 

The Events Project Manager will play a key role in designing and facilitating Climate Corps fellow and alumni learning opportunities and network connections throughout the year. The Events Project Manager will lead the US program’s largest events including its flagship fellow training in the Spring and annual conference in the Fall by designing the content and agenda, inviting and managing speakers, leading the team through execution, and more. Additionally, the Events Project Manager will oversee all event logistics for Climate Corps, support alumni network management, and contribute to other aspects of the program as needed. 

Key Responsibilities

Develop and manage a high quality professional multi-day training event for fellows and annual conference for alumni including but not limited to:

Design events by outlining content, creating agendas, and identifying and selecting trainers Manage the selection process for an events management company as well as contractors and speakers including developing scope of work, communicating timelines and expectations, creating contracts, facilitating practice sessions and collecting feedback

Coordinate with other staff at EDF, leveraging internal expertise and thought leadership to educate incoming fellows and alumni

Manage training platforms, coordinating with EDF IT on contracts as needed, uploading data and ensuring access and ease of use for participants

Oversee training team to ensure all event logistics and communications are completed according to project timeline and specifications 

Works with International Climate Corps Manager to coordinate fellow and alumni participation in events globally 

Lead all training communications with support from the Communications Associate

Manage training budget by negotiating contracts, approving onsite or virtual logistics expenses, etc.

Oversee 1-3 members of the training team as well as the Climate Corps team in planning virtual, pre-event and on-site logistics and networking activities

Ensure continuous updating of Salesforce database by tracking in-person and virtual network events, and coordinating with IT as necessary;

Play a key role in Climate Corps network management and activities by:

Communicating with alumni for network events, monitoring and contributing to a virtual community platform, and executing mass communications as needed

Contributing to annual network engagement strategy planning including the annual events calendar and regional events strategy

Overseeing the network regional hub strategy including alumni hub management, budget, logistics support as needed and attendance tracking 

Coordinate logistical arrangements for meetings and events including: Identifying, researching and recommending locations for events and activities, developing and overseeing invitations and guest lists, organizing catering and meeting set-ups, creating event collateral and materials and providing on-site support and coordination as needed

Manage a portfolio of approximately 10-15 summer fellowships while maintaining accompanying host relationships

Participate in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values

Participate in key fellowship processes including host recruiting, fellow recruitment presentations, implementation check-ins, feedback surveys and after-action reviews

Qualifications Required qualifications for this position include:

Bachelor’s degree with 4+ years of work experience; or master’s degree with 2+ years relevant experience

Ability to work both independently and as part of a highly collaborative and geographically dispersed team in a fast-paced, dynamic and professional environment

Highly organized and analytical self-starter with a passion for environmental issues

Interest in and experience with coordinating events and event logistics

Ability to oversee details with high accuracy and juggle multiple tasks in high-pressure environments

Strong project management skills including demonstrated ability to use independent judgement to plan, prioritize, and organize a diversified workload

Confidence and reliability in independently and creatively solving problems and making decisions

Strong leadership skills and aptitude for delegating tasks to teammates on complex projects

Demonstrates self-awareness, cultural competency and inclusivity, and ability to work with colleagues and stakeholders across diverse cultures and background

Ability to incorporate feedback and desire to grow, innovate and elevate events and opportunities

Strong proficiency in the use of PCs, the Microsoft Office suite of software (Outlook, Word, Excel, PowerPoint, and SharePoint), database programs, and Salesforce.com 

Willingness to travel (~20% of the time)

Desired qualifications include: Basic knowledge of the business implications of climate and energy issues

Experience in planning or running events consisting of 30+ attendees

Working knowledge of LinkedIn, MailChimp, SharePoint, Cvent, Google suite products and Zoom

The pay range for this role is 68,000 - 75,000 USD which takes into account factors such as candidate experience, skills, training, internal team equity and local norms.
