Position Overview
Under the supervision of the CG Xperience Manager, the CG Xperience Coordinator supports the overall coordination and smooth operation of the Coral Gardeners eco-tours.
They ensure seamless communication with visitors, partners, and suppliers, handle administrative and financial tasks, and contribute to improving the quality and efficiency of the CG Xperience activities, from bookings to merchandising.
The Coordinator plays a key role in guaranteeing a high-quality, educational, and memorable experience for all visitors while supporting the daily functioning of the CG Xperience team.
Key Responsibilities
Visitor & Booking coordination
Manage all visitor communications (emails, phone calls, and messages) with professionalism and efficiency, in both French & English.
Handle and confirm bookings for individual, group, and VIP tours.
Prepare and send quotes for special groups, VIPs, schools, and companies.
Coordinate the scheduling of tours with the CG Xperience Manager and Guides to ensure smooth daily operations.
Support in welcoming guests and ensuring a high-quality service.
2. Partnership & Travel agency relations
Maintain strong communication and follow-ups with tourism partners, hotels, and travel agencies.
Coordinate logistics for school and corporate group visits, ensuring alignment with CG educational objectives.
Represent Coral Gardeners professionally in exchanges with partners and assist in developing new collaborations.
Represent Coral Gardeners professionally in national or international tourism events to promote the eco-tourism branch of Coral Gardeners.
3. Administrative & Financial management
Generate invoices, follow up on payments, and manage proper filing of financial and booking documents.
Support reporting needs by generating and maintaining updated records of visitor statistics, bookings, and income.
Ensure accurate documentation and filing for all administrative processes related to CG Xperience operations.
Support in creating templates, procedures and onboarding documents, striving for consistency in all the operational bases of Coral Gardeners Xperience.
4. Merchandising & Retail operations
Oversee shop operations in collaboration with the Xperience Manager.
Manage merchandise stock, from supplier orders to inventory and in-store display.
Identify and contact new suppliers to diversify and improve the Coral Gardeners product range.
Monitor and report on sales performance, and support strategies to enhance visitor engagement and retail revenue.
5. Content & Experience development
Contribute to creating and improving administrative, educational, and visitor materials.
Propose ideas to enhance the overall visitor experience and the efficiency of internal processes.
Support communication efforts related to the Xperience, when needed (brochures, partner packs, educational kits, etc.).
Required Skills & Qualifications
Skills:
Strong organizational and multitasking skills.
High attention to detail and ability to work autonomously.
Excellent written and verbal communication skills in French and English.
Proactivity and problem-solving mindset.
Strong sense of hospitality and service, ensuring a 5-star visitor experience.
Creativity and interest in developing new ideas for visitor engagement and education.
Team player with a positive and adaptable attitude.
Qualifications:
Previous experience in operations, coordination, or visitor services.
Degree in tourism, administration, hospitality, or related field preferred.
Proficiency with digital tools (Google Workspace, Excel, CRM systems, POS tools).
Knowledge or passion for marine environments, sustainability, or eco-tourism is a strong plus.
