We’re currently hiring for a Contract Administrator. In this role, you will be responsible for on-going contract management, including processing, follow-up, and maintenance, as well as general support of the Contract Manager and the Accounting Team. Since you will also work with project staff on all aspects of contracting, ideal qualities that you possess and demonstrate will include having an aptitude for being detail oriented, collaborative, flexible, and having strong verbal and written communication skills.
The position is based out of our office in San Rafael, California; however, after an initial onboarding and training period, it may be primarily a remote position. The position must be available to report to the office, and is expected to accomplish specific tasks at the San Rafael office every other week, but is otherwise able to be performed at the office or remotely.

In this role, you will:

  • Process all types of contracts, change orders, and related documents.
  • Record and convey client billing instructions and requirements.
  • Communicate with clients regarding project contracts and related issues.
  • Provide support related to company insurance, including certificates.
  • Complete administrative tasks in support of the Contract Manager.
  • Prepare subconsultant agreements and related materials.
  • Manage subconsultant insurance and billing information.
  • Provide QA/QC oversight for new projects and general database content.
  • Manage labor billing rates and related materials in multiple formats.
  • Provide training to staff on contract-related issues.
  • Coordinate and participate in completion of clients’ vendor portals.
  • Manage various on/off-boarding tasks for new and terminated staff.

Required Education and Experience:

  • Bachelor’s degree or equivalent.
  • 5+ years of experience working in an office/business environment .
  • Experience working with contracts or similarly detailed documents.
  • Intermediate proficiency in Microsoft Office (Excel, Word, etc.) and Google Workspace (Sheets, Docs, Drive, etc.).
  • Working knowledge of Deltek Vision/Vantagepoint is helpful.

  • Proactively recommend solutions when breakdowns or issues arise.

  • Communicate effectively and concisely.
WRA has an established internal leveling system for our staff that maps to salary bands that have been informed by market data. Our leveling system is dependent on years of relevant industry experience, education, and the level of responsibility and autonomy at which you’re expected to operate.
We have posted pay ranges that correspond to two levels that we are open to considering for this position: the first is for an individual contributor and the second is for a supervisory role. In your first conversation with our recruiter, we will discuss leveling and compensation with you to make sure that our expectations are aligned.
The salary ranges for this position are:
$33-42 per hour for the individual contributor role
$42-47 per hour for the supervisory role
