Job Summary

The Woods Hole Oceanographic Institution is seeking a Director of Development Events to join the Development department.

Reporting to the Chief Development Officer, this position increases WHOI’s fundraising presence both physically and online, supervising a small team of two, and the event planning for the New York, Boston, Palm Beach and Cape & Islands WHOI Chapters. In 2025 and 2026, this position will work closely with leadership to launch the Campaign for Our Ocean Planet and the regional event roadshow. Develops and manages strategies to market WHOI to potential donors and sponsors. With their team, plan and execute approximately 50 annual events (in person, virtual and hybrid). Works across constituencies and centralizes the communications function and strategies of the Development Department. Acts as a primary liaison between Development and Communications relaying pertinent information to both groups and ensures that messaging and themes are coordinated.

Job Description

Essential Functions & Duties

  • With the Assistant Director, Volunteer Leadership has ultimate oversite for :

    • Collaborating with WHOI Board and Corporation and the Chapter steering committees and fundraisers to manage engaging events that showcase WHOI research and discovery and attract new donors.

    • Working with fundraisers to steward Chapter and steering committee members.

    • Creation and oversite of events budget.

    • Creation of event invitations, talking points, and other materials needed to assure successful events. Works to assure that Chapter presentations meet WHOI’s standards of excellence.

  • Formulate creative, strategic events that enhance fundraising priorities and messaging.

  • Develops marketing and advertising strategies and content for development events that are consistent, relevant, and compelling to donors at various levels.

  • Develop event strategies to highlight Campaign priorities and enhance Campaign effectiveness.

  • Prepares reports and evaluates the effectiveness of events (individually and collectively) and makes recommendations to senior leadership. Responsible for enhancing current event evaluation metrics and tracking success regularly.

  • Collaborate with Advancement Operations to ensure processes and procedures allow for effective and efficient event management within a development landscape.

  • Leverages WHOI’s unparalleled graphics, photo, and video resources for fundraising event purposes.

  • Works closely with Communications to ensure outreach messages are similar across all media and websites.

  • Works closely with WHOI Communications to create and maintain strong Development web presence that optimizes online giving.

  • Manages SplashThat event software and other event management tools.

  • Some travel, night and weekend work is required.

Non-Essential Functions

  • Performs other duties as deemed necessary by supervisor.

Required Education & Experience

  • Bachelors degree or equivalent experience required.

  • 5-7 years of professional experience in event management and donor engagement.

  • Proven ability and experience building strong relationships with internal and external partners, i.e., colleagues, volunteers, vendors and others, motivating them to ensure efficient and meaningful experiences for event attendees.

  • Demonstrated understanding of fundraising best practices with special attention to donor events, acquisition, stewardship, and retention.

  • Proven ability to take initiative, ownership and leadership of projects and timelines with keen attention to detail.

  • Capability to design and execute events with creativity, timeliness, expense, and revenue projections.

  • Clear understanding of the importance of brand identity and experience tying brand to events.

  • Management experience as it relates to budgeting and staff supervision.

  • Excellent communication skills.

  • Must have a keen eye for the details and follow process flows.

  • Demonstrated ability to work independently and to use good judgement in decision-making with wide Institution ramifications required.

  • Ability to work as a team member, demonstrate leadership and to take initiative and follow through-on projects is a must.

  • Ability to interact with donors at every level.

Preferred Experience

  • 7+ years of with a proven track record of leading high-end event experience and understanding of the annual event cycle and fundraising function both directly and indirectly within a not-for-profit environment highly recommended.

This position is mostly sedentary, with occasional prolonged standing/walking. Works with and around others as well as working alone at times. Physical duties are subject to change.
