Job summary

The post holder will be joining an existing Archive team based at the UK Hydrographic Office (UKHO) in Taunton. The position requires the majority of time to be working from the Archive offices. The post holder will join a team of research managers and be the first point of contact for UKHO research enquiries.

Experience of working in a research environment, preferably an archive or museum, is essential, plus excellent customer service and communication skills.

The post holder will be expected to make decisions on their own regarding research enquiries and process payment requests.

The person will hold a pivotal role within the UKHO Archive and interact with key stakeholders across the organisation.

It is expected that the individual will be in the office at least 3 times a week, if not every day.

Job description

  • Recording and providing acknowledgements of requests for information.
  • Providing advice and guidance in response to requests and delegating to specialist researchers as required.
  • Ensuring all research work is financially accounted for, including the ‘one hour’ free research time.
  • Supervising and providing advice and guidance to visitors and arranging specialist research assistance as required.
  • Co-ordinating customer requirements.
  • Ensuring Research staff prepare and despatch pro forma invoices.
  • Ensuring Research staff process receipt payments and input the necessary information onto SAP.
  • Maintain and improve the Archive indexes, catalogues and reference material.
  • List improvement. This includes holdings, indexes and new research datasets.
  • Produce monthly reports as required and provide an annual analysis of trends.
  • Support the development of a continual improvement culture and implementation of process changes as required.

  • Experience of working within a research environment, preferably within an archive or museum facility.

  • Managing the provision of services to customers at all levels both within the UKHO and externally.
  • Excellent IT skills and be fully competent in the use of standard IT packages and if possible specialist archive software packages.
  • Knowledge of financial systems (the UKHO uses SAP).

Process:

  • Single Stage Interview via TEAMS. You will be contacted to book a suitable slot if you are shortlisted (see our Candidate Pack for further information)
  • Interview will be with a panel of no more than 3 people and will last approx. 45 mins

Onboarding Checks:

In the event you are offered a role with us, you will be required to go through Basic Personnel Security Standard (BPSS) checks which will include Employment and Right to Work Checks. This is a Ministry of Defence non-reserved post and is open to UK, British Commonwealth, and European Economic Area nationals. Successful applicants will be required to pass the Basic Personnel Security Standard (BPSS) and will therefore need to provide evidence if they have resided outside of the UK for a period of 6 months or longer within the last 3 years. This is not a bar to employment, but a successful applicant will be required to provide sufficient evidence to allow the UKHO to conduct meaningful background checks.
