Event Production Coordinator

Department: Events
Reports to: Senior Manager Guest Experience Operations
Status: Up to 29 hours per week, with schedules varying based on event needs.
Hours of Work: This role primarily supports evening events, with hours varying based on the event schedule. Schedules are typically provided one to two months in advance.

Position Overview

The Seattle Aquarium, a leading marine conservation organization, is seeking an Event Production Representative to join our team and become an integral part of our mission, Inspiring Conservation of Our Marine Environment. In this dynamic role, you’ll work alongside our events team and key stakeholders to bring a diverse range of events to life, with a primary focus on evening rental events.

As a key member of the team, you’ll collaborate with departments across the Aquarium, provide leadership and support to volunteers and event execution team members, and help create memorable experiences for our guests and partners. By combining event coordination and production support, the Event Production Representative plays an important role in delivering successful events while maintaining high standards of service and conservation awareness.

This position reports to the Senior Managers of Event Production and Guest Experience Operations.

Essential Functions:

Oversight and Collaboration

  • Serve as the assigned On-Site Lead and primary point of contact for designated third-party rental events, while providing collaborative execution support for internal events.
  • Coordinate cross-functional teams (Guest Services, Security, Facilities, Life Sciences) during events to ensure guest safety, exceptional service, and protection of animals and habitats.
  • Train, direct, and support event staff and volunteers on shift. Partner directly with clients, caterers, and vendors to ensure seamless coordination and enforce facility policies.
  • Act as the primary on-site AV liaison responsible for the end-to-end execution of events, including pre-event setup, live audio and media operations, first-response live troubleshooting, and post-event teardown and secure equipment storage.
  • Collaborate directly with clients to manage presentation assets, run PowerPoints, and edit video and audio recordings to support virtual events and post-program deliverables.
  • Provide hands-on support during event setup and takedown, ensuring logistical needs are met efficiently.
  • Complete timely post-event reports, document operational or facility issues, and escalate unresolved matters to maintain high standards of event quality.
  • Assist with administrative tasks and special event projects as assigned to support overall department goals.

Administrative Support

  • Support the day-to-day operations within Momentus, the Aquarium’s event management platform, by entering event details, maintaining data accuracy, and assisting with reporting needs.
  • Leverage Microsoft Office and other tools to assist with communication, scheduling, and event-related activities and analysis.

Guest Experience and Safety Support

  • As needed, provide interpretation of animal exhibits and behaviors in various settings.
  • Monitor guest behavior, ensuring a safe event environment and protecting animals and habitats.
  • Act as a first responder in emergency situations during events.

Mission Driven Leadership and Learning

  • Regularly update knowledge of exhibits, animals, and any pertinent information to support guest experiences and maintain accurate event information.
  • Seek opportunities to collaborate, innovate, and bring unique and culturally diverse perspectives to improve systems and practices with the team.

  • Experience in event support and supervisory roles, demonstrating skills in task management and team coordination.
  • Demonstrated ability to work independently, manage stress effectively, and communicate clearly with colleagues, guests, and vendors.
  • Strong organizational skills, with the capability to manage multiple tasks and timelines autonomously.
  • Effective interpersonal and communication skills, including verbal, written, and basic report-writing abilities. Multilingual and multicultural communication experience is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Teams.
  • Familiarity with event management platforms, such as Momentus, is a plus.
  • Opportunity for paid training in CPR, first aid, and AED certifications; completion within 90 days of the start date is recommended.

Working Conditions:

  • Constant movement throughout the Aquarium campus, working in areas with moderate to loud noise levels and variable outdoor weather conditions.
  • Frequently operate a computer and other office equipment such as a calculator or telephone.
  • Frequently move equipment weighing up to 30 pounds across campus for various event needs.
  • Occasionally, ascends/descends ladders and maneuvers into tight spaces under tables and within equipment areas to maintain and adjust technical and event equipment.
  • Proficient in clear and engaging communication, adept at effectively conveying information both in constant one-on-one interactions and when presenting to diverse groups, including co-workers, the public, and individuals from various cultural backgrounds, ensuring consistency and effectiveness across all communication channels.
  • Flexibility to work long, irregular hours, including evenings, weekends, and holidays (including New Year Eve).

Salary and benefits: $25.00 per hour. Dependent on experience. Please include salary expectations in your application materials.
