Job Overview
The Program Coordinator, Seafood plays a key role in supporting the Sustainable Seafood program through financial management, revenue tracking, and client relationship management. The program is accredited to provide certification to the Aquaculture Stewardship Council, Marine Stewardship Council, and Marine Stewardship Council Chain of Custody schemes.

The ideal candidate is highly organized, adaptable, and detail-oriented, with a proactive approach to financial operations, contract coordination, and process improvement. As part of a growing and evolving program, the Program Coordinator will assist in developing and formalizing standard operating procedures (SOPs) for their role to enhance efficiency and structure within the team. Once key SOPs are established, the scope of this role will expand to support additional components of the Sustainable Seafood Program. The candidate should be comfortable navigating ambiguity, identifying areas for process improvement, and contributing to a collaborative, team-driven environment.

Essential Duties and Responsibilities
Financial Support and Coordination

  • Support financial operations, including creating, delivering, and tracking work orders, invoices, contracts, and proposals
  • Ensure timely and accurate invoicing and receivables management, engaging with clients to resolve outstanding payments
  • Assist in tracking and reporting on revenue performance across relevant services, including revenue from headquarters and international affiliates
  • Support pricing and proposal development for recertification and surveillance audits
  • Coordinate closely with the sales team to ensure accurate pricing and service proposals
  • Identify and recommend process improvements to enhance efficiency and profitability
  • Support the development and documentation of standard operating procedures (SOPs) to streamline workflows, enhance efficiency, and create a structured framework for financial processes within the role

Auditor and Contract Coordination

  • Support the management of full lifecycle of auditor contracts and work requests, including drafting, sending, tracking, and following up to ensure proper execution
  • Maintain an organized system for storing auditor contracts, ensuring easy access and compliance with company policies and audit requirements
  • Monitor and review auditor invoices for accuracy and completeness, ensuring alignment with contracted terms before approval and processing
  • Assist in overseeing auditor expense submissions, verifying compliance with company policies and coordinating timely reimbursements
  • Act as the primary point of contact for auditors regarding contract-related inquiries, payment timelines, and expense reimbursements
  • Collaborate with SCS Auditor Hub to streamline the auditor onboarding process
  • Support the development of and maintain a Salesforce-based system to track auditor certifications, training, and compliance
  • Monitor qualification timelines, support onboarding processes, and ensure auditors complete the required training and standards
  • Generate reports on auditor status for internal stakeholders and accreditation compliance

Audit Coordination

  • Assist clients by providing guidance, addressing operational and financial inquiries, and ensuring a smooth audit process through clear communication with auditors and clients
  • Coordinate resources, maintain audit records, and track project progress to ensure compliance with SCS and certification scheme requirements
  • Assist in maintaining client and certificate data, including updates, suspensions, terminations, and audit project creation
  • Support stakeholder outreach and communication
  • Assist in certification processes, including creation, issuance, and updates

Minimum Qualifications

  • Bachelor's Degree in Business Administration, Finance, Accounting, or a related field or
  • Equivalent combination of education and/or relevant work experience and
  • 2+ years of experience in financial administration, contract management, business administration, or client services
  • Fluency in English with excellent writing and verbal communication
  • Strong organizational skills, attention to detail, and ability to prioritize multiple tasks to meet deadlines
  • Excellent problem-solving and analytical skills with a customer service-oriented approach
  • Ability to work independently and adapt to a remote, evolving environment while collaborating with a team
  • Flexibility to perform additional tasks as needed in a dynamic work environment
  • Proficient in Microsoft Office including Word, Excel, PowerPoint, and Outlook (Advanced proficiency)

Preferred Qualifications

  • Fluency in Spanish with experience in written communication
  • Experience with Salesforce

Working Remotely
At this time, SCS Global Services is recruiting all open roles to be remote; allowing our employees the ability to work flexibly and allowing SCS as a company to diversify the experience and perspectives of our growing workforce. This role will be based out of your home office.

$20.40 - $26.40
