THE POSITION
Saildrone is seeking a Senior Recruiting Coordinator to join our People Team. Reporting directly to the VP, People, you will play a critical role in scaling our team of engineers, leaders, and technical experts. You will be the operational heartbeat of our hiring process, ensuring that every candidate’s journey is seamless and that our internal systems are optimized for scale.
We are looking for a skilled individual who creates clarity from ambiguity and has a proven track record of independently driving execution. We view the strategic use of AI and automation as a competitive advantage; you should be someone who proactively seeks out AI-driven optimizations to eliminate manual overhead and elevate the talent function. This is a contract role through 2026, offering a unique opportunity to own the recruitment infrastructure for a company at the forefront of maritime intelligence.

The People Team is responsible for the end-to-end lifecycle of every employee. THE RESPONSIBILITIES
- Optimize Greenhouse use and adoption, acting as the system's "power user" to implement automation and AI-driven workflows that streamline scheduling and reduce manual work.
- Own end-to-end interview coordination across multiple regions and time zones, setting and meeting aggressive targets for scheduling speed and accuracy.
- Coordinate candidate travel and logistics, managing flight, hotel, and expense reimbursement processes for non-local candidates to ensure a flawless on-site experience.
- Manage the job posting lifecycle, ensuring all roles are accurately and consistently listed on internal/external boards and social channels in alignment with our brand standards.
- Own the offer letter process, routing documents for signature and partnering with the broader People Operations function to ensure we compliantly collect and store all appropriate candidate information.
- Monitor for bottlenecks or inefficiencies in the recruiting funnel, taking proactive action to resolve scheduling conflicts and minimize delays in the hiring process.
- Maintain ATS data integrity and optimize interview plans to support high-fidelity reporting and a streamlined candidate experience.
- Support the development of training for hiring teams on ATS functionality and interview best practices, driving internal adoption and creating more scalable, consistent workflows.
- Perform all responsibilities with high discretion, maintaining confidentiality and adhering to company values and ethical guidelines.
THE QUALIFICATIONS
- 3+ years of experience in Recruiting Coordination or Talent Operations, with a proven track record in a high-volume, high-growth technology environment.
- Advanced proficiency in Greenhouse (ATS) strongly preferred; you have experience configuring automation, optimizing interview plans, and improving system adoption.
- Experience managing travel logistics, expense processes, and routing offer letters for a distributed or high-volume candidate pipeline with 100% accuracy and compliance.
- Tech-forward mindset with a proven ability to leverage AI tools and automation to drive process improvements and efficiency.
- Exceptional troubleshooting skills, with the ability to navigate complex, multi-time-zone scheduling involving executive leadership.
- Highly responsive and organized communicator who can adapt to shifting priorities, including occasional weekend flexibility for time-sensitive scheduling.
The base salary range for this position is shown below. Actual compensation may vary based on skills, experience, and qualifications. This range reflects the base salary for candidates in states requiring pay transparency disclosure.
