Position Summary | This recruitment will be used to fill one (1) part-time (a maximum of 24 hours per week) Archivist for ASOSU.
The ASOSU Archivist serves as a statutory/clerical position in the Executive Branch to record minutes and facilitate proceedings of the Student Senate, Student Fee Committee (SFC), Judicial Council (JC), and other bodies and offices of the Associated Students of Oregon State University (ASOSU). Given the limited hours and timeline of ASOSU’s advocacy, these responsibilities (including those provided below) may be amended or vary depending on ongoing priorities, needs, or emergent issues and/or circumstances. The Archivist will work closely with the branch leaders on the Records Officers Committee to ensure timely and transparent proceedings of the ASOSU and facilitate public scrutiny of its operations. The responsibilities of the Archivist are defined by statute. The duties listed below primarily serve as a summary of the coordinator’s statutory role. |

Position Duties | Main Positional Duties: - Maintain files and archive documents when necessary for ASOSU business that may include, but is not necessarily limited to, the following:
- Legislation (resolutions or bills) formally introduced by members of the ASOSU Senate, and any other materials pertinent to the institutional memory of the Senate in the judgment of its primary presiding officer or a majority of its membership.
- Unsealed writs before the ASOSU Judicial Council, the decisions thereupon rendered, and any other materials pertinent to the institutional memory of the Judicial Council in the judgment of its chair or a majority of its membership.
- Upon request, records of the additional proceedings of any branch of the ASOSU, subject to the available time and best discretion of the Archivist.
- An up to date record on the current membership of the Senate, the Judicial Council, the SFC, and the Executive Branch, as well as any committees members of ASOSU Student Government are currently serving on;
- The Archivist shall serve as the primary point of contact between ASOSU and Oregon State University’s Office of the General Counsel with regard to record retention and preservation requirements;
- Work with body leaders and any necessary stakeholders (Special Collections and Archives Research Center, Barometer, and others) in the collection and digitization of past ASOSU records in a publicly accessible place, including but not necessarily limited to, the following:
- Legislation (resolutions or bills) passed and signed by the ASOSU President in previous years.
- The composition of previous years membership of the ASOSU Senate, SFC, Judicial Council, and Executive Branch, when possible.
- Unsealed writs from previous years’ Judicial Councils.
- Other materials, as requested by the ASOSU President or respective body leaders, subject to the best discretion and available time of the Archivist;
- Other activities reasonably related to the records and archival duties of the position;
- Ensure that the ASOSU Statutes are updated regularly to reflect any recently passed legislation, in consultation with the Senate Student Government Committee if necessary.
Administrative Tasks & Other Duties: - Provide a report to the ASOSU Senate upon request;
- Attend and successfully complete all required training sessions, including in-person sessions, online training and make-up assignments related to training;
- Maintain regular and timely communication with the ASOSU President, Vice President and your supervisor reviewing emails and responding to other forms of communication;
- Attend and participate in reoccurring meetings, including staff meetings, meetings with ASOSU advisors, and any other assigned meetings;
- Work collaboratively with ASOSU officers and campus/community partners;
- Role model appropriate behavior for the workplace environment including interactions with coworkers and university partners.
Support Staff Designation: - Records officers (including the Records Clerk and Archivist) constitute support staff of the ASOSU Executive Branch.
- This position serves all branches of the ASOSU Student Government equally, and should not exhibit preferences toward serving a specific branch. Instead, this position must fulfill their job duties without bias. The presiding officers of the Senate, Judicial Council, and Student Fee Committee (SFC) may issue requests or directives of the records officers when reasonably related to the records and archival duties of their respective bodies;

- The Archivist may not exercise binding authority, except as part of the ASOSU Elections Committee. In the event that the Archivist is not a candidate in the election, they may be appointed to the Elections Committee.

Minimum Qualifications | - Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
- Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
- Must meet the applicable minimal enrollment standard
- High School student: Regularly enrolled in a high school or participating in a home-schooling program
- Undergraduate and post-baccalaureate student: 6 credit hours per term
- Undergraduate international student: 12 credit hours per term*
- Graduate student officially admitted to Graduate School: 5 credit hours per term
- Graduate international student officially admitted to Graduate School: 9 credit hours per term*
*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services ( USCIS). A reduced course load is approved by the Office of International Services ( OIS), and must be provided to the Student Employment Center. |
Additional Required Qualifications | - Must be a Corvallis campus-based student
- For employment within the ASOSU, the Division of Student Affairs has mandated certain additional requirements beyond those contained in the Student Employment Manual or the ASOSU Constitution. These currently include, but are not necessarily limited to, maintenance of good academic and conduct standing and a cumulative and prior term 2.0 GPA.

- Willingness to support the clerical and recordkeeping operations of separate branches and offices of the ASOSU as impartially as possible, without fear or favor, even when they may dissent from one another.

Working Conditions / Work Schedule | Employment Details: - Term of Employment: Flexible start date, with employment concluding on June 1, 2026.
- Hours: This position is allotted approximately 15 hours (clocked) per week during the academic year. Some weeks may require additional hours while others require less. Hours must balance out during the pay period and may not exceed 24 hours within a given week per university policy. Additional hours may be available with supervisor approval.
- Compensation: The compensation for this position is $16.50-17.10 an hour.
- Training: Student employees must satisfy all training requirements as assigned by their supervisor.
- Nomination Procedure: This position works according to the provisions of Title V of the ASOSU Statutes, which establishes records officers appointed by a committee (“Records Officers Committee”). This committee consists of the ASOSU President, Vice President, Senate President pro tempore, SFC Chair, JC Chair, and up to one concurrent member of the Senate Student Government Committee.
