Position Summary
This recruitment will be used to fill four (4) part-time (a maximum of 24 hours per week) Administrative Support for the office of the Registrar at Oregon State University (OSU).

The student employee position in the Office of the Registrar (OtR) is a member of the Operations Team, reporting to the Assistant Registrar for Records & Registration. Student employees support the Academic Records & Compliance Representatives by performing a wide range of clerical tasks, for example, greeting visitors, answering questions (in-person, phone or email), imaging documents, preparing documents for distribution, and more. For student employees, increasing responsibility and assignment of complex tasks comes with work experience. Student employees are valued members of the OtR for the services and support provided to fellow students, visitors and staff in the OtR.
After working in the Office of the Registrar, students are able to report experience in a professional office setting. They will be working to help maintain the integrity of student records and playing a key role in the mission of the university.

Position Duties
  • Greet office visitors and answer general questions from students and staff.
  • Assist with answering questions by phone and via email.
  • Distribute student documents, transcripts, and diplomas as needed.
  • Coordinate the pickup, sort, and distribution of Office of the Registrar mail.
  • Scan documents into OnBase (electronic document management system).
  • Verify the accuracy of documents scanned into OnBase by other student employees.
  • Assist with special projects and other duties as needed.
Minimum Qualifications
  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Eligible for Federal Work Study
  • Excellent written and verbal communication skills.
  • Ability to perform tasks with close attention to detail, ensuring completeness and accuracy.
  • Ability to organize materials and information.
Preferred (Special) Qualifications
  • Experience working in an environment where discretion and confidentiality was a requirement.
  • Experience working in an office setting.
