Position Summary
This recruitment will be used to fill three (3) part-time (a maximum of 24 hours per week) Clubs and Organizations Specialist for the Department of experimental Learning and Activities at Oregon State University (OSU).

Clubs & Organizations provides administrative support to the Recognized Student Organization (RSO) program on the Corvallis campus, including recognition, training & education, process/procedure management, event planning, organization development, and fiscal management. Clubs & Orgs Specialists serve as members of the Clubs & Orgs team and work closely with professional staff, Senior Clubs & Orgs Specialists, Fiscal Specialists, and the Media & Marketing Specialist to support the work of RSOs at OSU. For the 2025-26 school year, we are seeking students who will think critically, creatively, and openly in a team-based environment.

As the hub for student organizations, media, and creative expression, ELA provides resources, advising, and media platforms that help students of all identities create activities, share stories, and build communities that reflect their passions, cultures, and lived experiences.

ELA comprises Clubs & Organizations, OSU Program Council (OSUPC), and Orange Media Network (OMN). ELA is a department of the Student Experiences and Engagement (SEE) organization within the Division of Student Affairs.

Position Duties
Student Organization Support & Administration (90%)
  • Support processes and procedures related to the support of clubs, including annual recognition, financial services, new club development, activity planning, and access to campus resources.
  • Maintain regular office hours to assist in the facilitation of day-to-day tasks and to facilitate general office duties like answering phone calls and emails.
  • Provide one-on-one consultations to provide general information, referrals, coaching, or education.
  • Assist clubs with the completion and submission of activity reports and review and evaluate activity plans.
  • Assist clubs in financial services, including credit card checkouts, funding requests, and index account maintenance.
  • Contribute to the development of educational tools, trainings, and tutorials while promoting diversity, social justice, and the values of Clubs & Orgs, ELA, and SEE.
  • Attend and support RSO grant-funded activities, including logistics such as attendance tracking, ticketing, and food service.

Other Position Responsibilities (10%)
  • May be asked to serve on a committee or workgroup within Clubs & Orgs, ELA, or SEE.
  • Work to learn, enhance, and promote diversity and social justice.
  • Represent the functional area and ELA/SEE to OSU and the Corvallis community.
  • Uphold the values of Clubs & Orgs, ELA, and SEE.
  • Participate in signature SEE-wide events and programming each term.
  • Engage in ongoing professional development, community building, and other administrative tasks as needed.
Minimum Qualifications
  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Experience working collaboratively as a part of a team.
  • Ability to organize work, manage time, and follow through on tasks in a self-directed environment.
  • Desire or interest in working with a variety of organizations and people from diverse cultures, communication styles, histories, and team structures.
Preferred (Special) Qualifications
  • Previous experience working for any of the units in SEE.
  • Experience in leadership activities, student organizations, community service, and/or outreach activities.
  • Experience engaging traditionally underrepresented social identities (i.e., Race, Gender Identity, Sexual orientation, or Ability).
  • Demonstrated problem-solving and decision-making skills.
  • Knowledge of or experience with event/program planning or project management.
  • Demonstrated knowledge of PC software, specifically Microsoft Office (Word, Excel, Publisher, PowerPoint) and Adobe (Illustrator, Photoshop, Premiere), as well as cloud-based resources like Box, Drive, SharePoint, and Canva.
