The role:

The Human Resources Specialist for Oceana in Europe plays a significant role in the Human Resources department and serves as the main focal point for employees in Europe. Key responsibilities include providing guidance and support to employees on all aspects of Human Resources issues as well as being responsible for administrative management of the employee lifecycle. This role will also support the Human Resources Director in handling a diverse set of tasks.

Main Responsibilities:

Human Resources Administration

  1. Manage personnel files, contracts, addendums, parental leave processes, sick leave, and other administrative tasks in accordance with our HRIS (Human Resources Information Systems), ensuring accurate input into the system while maintaining and updating Human Resources data.
  2. Contribute to HR (Human Resources) department goals, including metrics, queries, and ongoing reports.
  3. Support the HR Director on a day-to-day basis (employment contracts, payroll, absenteeism, training actions, onboarding, leave, etc.).
  4. Provide support and guidance on human resources-related matters for employees in Europe.
  5. Manage all administrative processes (contractors, purchase orders, invoices, offer letters, health and safety and benefits).
  6. Responsible for maintaining, keeping and providing all the required data pertaining to labour law audits, donors, tax compliance and labour law processes.

Health & Safety.

  1. Responsible for reviewing health and safety procedures, plans, permits, and reports across offices in Europe (audits, medical revisions, risk yearly reports, legislation updates, and emergency plans) acting as a point of contact for safety queries and emergency plans.
  2. Ensure compliance with regulatory requirements for office safety across the organization in collaboration with Human Resources Director.
  3. Responsible for the administration of Expedition safety procedures.
  4. Support the Human Resources Director in monitoring "psychosocial risk policies", "health and safety during travel", "accidents", "emergency plans" and "well-being policies".

Talent and development

  1. Utilise ADP's talent management software to manage recruitment processes (creating job advertisements, posting positions, conducting screening interviews, and supporting hiring managers during technical testing).
  2. Perform all administrative tasks related to onboarding and employee orientation, including data entry into human resources information systems (HRIS) and facilitation of the transition from candidate to employee.
  3. Managing the training consultants and providers to ensure that they adhere to established processes while managing training logistics in accordance with the company's specific training requirements.
  4. On an annual basis, provide support for the "Performance Review Process."

Other

Support the Human Resources Director with any other tasks related to the Human Resources function.

Candidate Requirements:

Education and work experience:

Bachelor’s degree in psychology/human resources management or related field and 7 years of Human Resources experience, or equivalent combination of education and experience.

Skills and knowledge:

  1. A strong sense of ethics and professionalism.
  2. Ability to work independently and solve problems analytically and creatively.
  3. Focused on achieving results.
  4. Excellent organizational skills and attention to detail.
  5. Ability to prioritise and efficiently execute a high volume and broad scope of tasks.
  6. Technical savvy.
  7. Good written and verbal communication skills in both English and Spanish.
  8. Confidentiality is a must.

Oceana’s offices in Europe operate on a hybrid schedule and employees are required to work from their assigned office on Tuesday, Wednesday, and Thursday, while the employees may work from home on Monday and Friday.
