About us: Ocean Energy Pathway (OEP) is a not-for-profit organisation on a mission to accelerate the global clean energy transition by unlocking the immense potential of offshore wind power. We do that by delivering programmes in new markets that build effective collaboration, engage and educate key stakeholders, and offer structured technical assistance to support governments, industry, and civil society to fast-track the deployment of sustainable offshore wind projects. We work closely with industry and civil society organisations across the oceans-climate-energy nexus.
Role Description
You will be responsible for bookkeeping and accounting in XERO, account payables, banking and financial relationships, reporting and audit support and employee financial support. You will support our day-to-day finance processes, including expense management and payments, liaising with our outsourced accounting team on payroll, and preparing monthly bank reconciliations.
This role requires a detail-oriented individual with excellent analytical skills and demonstrable experience of managing bookkeeping within XERO accounting software. The successful individual will be highly organised and reliable with a passion for finding and improving processes and a desire to grow their career in finance operations.
The ideal candidate will thrive in a hybrid working environment, with two days per week in our London office.
Reports to: The role will report into the Finance Manager and work closely with the Operations Team, wider secretariat and in-country teams on a regular basis.
Key Responsibilities:
1. Bookkeeping and Accounting (40%)
- Maintain accurate and up-to-date financial records for OEP in XERO accounting software ensuring all transactions are properly recorded and documented.
- Lead the preparation and execution of bank reconciliations, ensuring accuracy of cash balances and timely resolution of discrepancies.
- Record and maintain payroll entries, ensuring correct allocation to relevant accounts
- Maintain and update depreciation and amortization schedules, ensuring compliance with accounting standards
- Liaising with outsource payroll providers and HR to facilitate payroll including but not limited to enrolling new starters, personal detail changes, and salary changes.
2. Accounts Payables (25%)
- Act as the primary liaison for suppliers regarding payment matters, building positive and professional relationships
- Oversee the full accounts payable cycle, from invoice verification to timely payment execution.
- Resolve supplier disputes efficiently while protecting the company’s financial interests.
- Maintain accurate supplier records, including banking and contact details.
- Monitor upcoming payment obligations to maintain positive vendor relationships.
- Implement and update systems as needed to support growth and/or change in our wider organisation.
3. Banking & Financial Relationships (15%)
- Maintain and nurture relationships with banks and credit card companies.
- Monitor and manage credit card transactions and statements.
- Liaise with financial institutions to resolve account-related queries.
4. Reporting, Project Management & Audit Support (10%)
- Contribute to month-end and year-end closing activities with accurate journal entries and reconciliations.
- Prepare supporting documentation for internal and external audits.
- Updating Monday.com project management board with paid invoices
5. Employee Financial Support (10%)
- Serve as the primary point of contact for employees on payroll, reimbursements, and financial policy queries
- Respond to and resolve employee financial issues, such as payroll discrepancies or delayed reimbursements.
- Provide staff with clear guidance on expense claim procedures and compliance requirements.
- Collaborate with the team to identify opportunities for process improvements.
About you
You’ll be a motivated individual with a demonstrable track record of managing financial record-keeping and processes. You’ll enjoy the challenge of a fast-paced environment and enjoy having a varied workload with exposure in lots of different areas in a dynamic environment.
You’ll possess good stakeholder management skills and enjoy looking for process improvements and ensuring that information is accurate and reliable. You’ll also be passionate about how technology can help drive efficiencies and “quality of life” improvements for the wider OEP team.
You’ll have a passion for renewable energy and sustainability, even if you haven’t worked in the sector before.
Experience and Skills
Required:
- Bachelor’s degree (or equivalent) preferably in Finance, Accounting, or related field, or equivalent professional qualification.
- Demonstrable experience using XERO accountancy software and spreadsheet applications to maintain financial accounts for a not-for-profit or charitable organisation.
- Understanding of UK accounting principles, financial statements, and bookkeeping practices to accurately maintain financial records and analyse financial data.
- Strong attention to detail and the ability to identify and resolve discrepancies in financial records, ensuring accuracy and compliance with relevant laws and regulations.
- Good time management and the ability to efficiently manage multiple tasks and deadlines, prioritising work to ensure timely completion of financial reports, tax filings, and other responsibilities.
- Experience handling international payments to suppliers across a number of jurisdictions
- Strong written and verbal communication skills to effectively collaborate with team members, provide guidance to colleagues, and interact with other departments as needed.
- Ability to analyse financial data, identify potential issues, and develop solutions to maintain accuracy and compliance in financial records.
Helpful but not essential:
- Project management experience (or exposure to it).
- Experience in the renewable energy sector (private or not-for-profit).
- Experience working for a global organisation across different jurisdictions and timezones.
