Job Title: Child Care Program Administrative Assistant
Department: Early Childhood Education - Child Development Center
Reports To: Child Development Center Program Manager

JOB SUMMARY:
The Nooksack Indian Tribe Child Development Center Program Administrative Assistant is responsible for a wide range of tasks that are essential to the day-to-day operation of the program. Versatile and detail-oriented individual who will perform various routines including bookkeeping, clerical work, family communication, assist teaching staff, recruit and enrollment, opening and closing the program and doing wellness check when children come in. They will split time between administrative duties and assisting teachers and children in the classroom. An essential function of this position is to assist the Program Manager and Lead Teacher with tasks such as day-to-day childcare coverage and assist with operations. The typical work schedule of a Program Administrative Assistant is an 8-hour shift between 7:30 a.m. – 3:30, Monday - Friday, and up to one evening shift of work per month. This position is contingent on continuing grant funding.
DUTIES AND RESPONSIBILITIES:

Reception/Customer Service - Regularly
- Ability to manage multiple priorities and consistently take direction to re-prioritize tasks.
- Understands common reception tasks, such as monitoring answering phone calls and voice messages, basic office administration, computer program - Microsoft 365.
- Keep the office tidy and building clean for staff, guest, children, parents, and visitors.
- Stay in touch with parents, be readily available to listen to their comments and concerns, and keeping them informed on new developments.
- Shows resilience and grace / clear thinking under pressure.
- Is efficient and effective with strong organizational and time-management skills.
- Opens, sorts, reviews, prioritizes and forwards all incoming mail, and telephone calls, including faxes and emails, processing response(s) when appropriate.
- Maintains child records, office supply inventories and other specific items needed.
- Assists with planning, scheduling, and coordinating of meetings and trainings.
- Strong attention to detail.
Basic Operations - Occasionally
- Type appropriate emails and letters to parents, teachers, professionals and affiliates to the school.
- Setup, breakdown, organization and course of events and activities which may include late hours.
- Keeping organized contact information of children, teachers, parents, and vendors.
- Help to maintain calendars and provide reminders of specific dates to the administrative staff, faculty, and families.
- Is able to maintain confidentiality in all aspects of the job.
- Possesses strong customer service and public relations skills upholding politeness, courtesy, and respect for all.
Impact and Influence - Occasionally
- Is able to communicate, interact, and work effectively and cooperatively will all staff and families.
- Assist to the management team for the program’s day-to-day operations.
- Work with the management team to uphold the program’s goals in fulfillment of the program’s mission.
- Be present and visible during school hours to maintain safe, positive, pro-learning environment and promote open communication.
- Model the school’s values and standards for professional conduct; consistently demonstrate best practices for communicating with students, staff, and families.
- Consistently identify potential issues and obstacles and create implement solutions.
- Manage recruitment and enrollment.
Child Caregiving – As Needed
- Experience in a childcare or school setting.
- Provide supervision for children outside play time.
- Provide additional child supervision support as needed throughout the school day.
- Assist in the classroom and be responsible for supervising children on a regular basis.
- Assisting with lunch preparation and distribution remembering proper sanitization such as handwashing, using clean plates and utensils, etc.
- Step in classroom to assist teachers on breaks.
- Opens and closes classrooms.
OTHER DUTIES:
The Tribe is committed to community service and the well-being of its members. Therefore, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

- Indian Preference Policy applies to this and all positions with the Nooksack Indian Tribe.
MINIMUM QUALIFICATIONS:
The following qualifications are required for the incumbent to have, in order to be considered for the position.
REQUIRED EDUCATION, EXPERIENCE, AND TRAINING FOR THE POSITION:
- Must be 18 years or older
- High School Diploma/GED
- Must have experience in customer service
AND
- Must be bilingual in English and Spanish
- Have six months or more of licensed child care compliance experience
REQUIRED CONDITIONS OF EMPLOYMENT:
- Must pass alcohol/drug test upon job offer and throughout employment.
- This position requires regular contact with or control over children and is therefore subject to an extensive Criminal Background Check, including fingerprinting, at time of hire and periodically thereafter.
- Complete any required medical tests and vaccinations as required by regulations that govern the program such as TB Test, and COVID-19 Vaccination.
- Must pass an initial health examination and pass a re-examination every two years as recommended by their health care provider in accordance with tribal, state, or local requirements that include screeners or tests for communicable diseases, as appropriate.
REQUIRED LICENSES OR CERTIFICATIONS:
- Must have and maintain throughout employment a valid Washington State Driver’s License and meet the insurability requirements of the Tribe. (Must Provide Driving Abstract at time of hire).
- Obtain and maintain Infant, Child & Adult First Aid & CPR Certified, completed no later than first available training offered upon hire.
- Obtain and maintain Food Handler’s Permit, completed no later than first available training offered upon hire.
- Bloodborne Pathogens Training, completed no later than first available training offered upon hire and periodically thereafter as required of the program.
- Child abuse & Neglect Mandated Reporter Training, completed no later than first available training offered upon hire and periodically thereafter as required of the program.
- Must complete fire extinguisher training no later than first available training offered upon hire, and annually thereafter.
PHYSICAL REQUIREMENTS (The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.):
- Be able to stand, walk, sit, twist, bend/stoop, squat/kneel, crawl, move quickly, and reach on a daily basis.
- Specific vision abilities required by this job include close vision and distance vision with or without corrective lenses, as well as peripheral vision and depth perception.
- Willing and able to interact with children at their level (i.e. sitting on the floor)
- Sitting for extended periods while at a desk or in meetings.
- Manual dexterity to operate a keyboard, calculator, and telephone system
- Ability to lift up to 40+ pounds without assistance occasionally.
- Typical office setting with environmentally controlled conditions.
- Read, write, speak and understand English
- Ability to listen, understands customers, and has the ability to translate rules, regulations, and policies to clients so they understand the issues/problems.
- Operate in mentally and physically stressful situations with composure.
- May have to walk/drive between office locations under a variety of conditions.
