Job Summary:

Under limited supervision, support Education Program development and delivery; coordinate various events and systems, including but not limited to communication, scheduling, logistics, and purchasing; individual assignments will vary; perform other duties as required. This role is critical in maintaining the business needs of a large, dynamic division and will work across the division to provide administrative support.

Core Activities:

  • Coordinate all aspects of cross-divisional meetings, such as those related to strategic initiatives, including scheduling and consistently communicating with Education staff, Aquarium staff, and external partners.
  • Coordinate all aspects of various Education Programs events, such as meals and celebrations for program participants.
  • Deliver short-term educational sessions to program participants, both on-site and in the community. Represent the Education division at various community events, Aquarium events, and program recruitment events.
  • Lead purchase of food, supplies, and equipment for Education programs and the Bechtel Education Center with great attention to product sustainability and waste, including inventorying supplies and equipment.
  • Prepare a wide variety of Education correspondence, proofread related communications, and take minutes at formal and informal meetings.
  • Serve as the Education division's first point-of-contact and liaison with all levels of staff, colleagues, and the public to coordinate meetings, facilitate introductions, and appropriately filter and direct requests.
  • Coordinate and schedule meetings for the Education Vice President and VIP visits to the Bechtel Education Center.
  • Develop and maintain standard operating procedures for various aspects of work, including eco-friendly food and materials purchasing. Represent the Education Division on Aquarium-wide sustainability initiatives.
  • Assist in participant check-in and attendance tracking, using database software such as Salesforce.
  • Assist in contract development, tracking, and reporting, in collaboration with the Education Operations team. Recommend improvements for departmental and divisional financial processes.
  • Assist in the set-up and maintenance of technology, such as iPads and cameras, and in preparing program spaces and materials.

Preferred Knowledge, Skills, & Abilities (KSAs):

  • Bachelor's degree or equivalent combination of education, training, and experience
  • Minimum 3 years' office administration or project support experience
  • Experience in project, data, and budget management programs and software
  • Excellent organizational and communication skills
  • Excellent collaborative skills, especially in working with and maintaining positive relationships with internal colleagues and external partners
  • Ability to maintain confidential information with discretion, integrity, and diplomacy
  • Ability to converse in another international language (Spanish, Chinese, Japanese, French, German, Portuguese, etc)
  • Must be comfortable in fast-paced, high-volume environment
  • Able and willing to work weekends and holidays

Hourly Compensation Range:

$25.00- $28.37 USD per hour. Starting rate will vary based on previous experience and relevant skills/knowledge set.
