Founded in 1987 by the late David Packard, the Monterey Bay Aquarium Research Institute (MBARI) is a nonprofit oceanographic research center advancing marine science and engineering to understand our changing ocean. Located in Moss Landing, California, the heart of the Monterey Bay National Marine Sanctuary, MBARI offers ready access to the open ocean and deep sea. Ongoing research programs range across autonomous and remotely operated underwater vehicle systems, control technologies, ocean physics, chemistry, geology, biology, ocean instrumentation, and information management. MBARI hosts approximately 200 employees, with shore facilities that include state-of-the-art science and engineering laboratories, manufacturing and electrical fabrication shops, and dock facilities for MBARI vessels.
We are seeking a Shipping and Receiving Clerk to join our team. This position ensures that incoming mail is properly sorted, processed, and distributed in a timely manner. Further, they are responsible for processing all outgoing mail, shipments, and coordinating with shipping vendors. The incumbent must possess excellent organizational skills and can maintain accurate records on all shipping and receiving related items. This position is required onsite during regular business hours.
Primary responsibilities:
• Processes incoming and outgoing mail and shipments in a timely accurate manner.
• Coordinate with shipping vendors to schedule pickups, resolve issues, and ensure timely deliveries.
• Ensures shipping equipment (e.g., scales, printers, and packaging tools) is maintained and in good working condition.
• Handles all tasks associated with freight, including managing charges, purchase orders and preparing items for shipment.
• Maintain records on postage, registered mail, packages, vendor transactions, and hazardous material shipments as required.
• Interfaces with the Accounting Department to reconcile shipping charges, vendor invoices, and budget tracking.
• Ensure professional working relations with co-workers, customers, visitors, and the public in general.
• Performs other related duties as assigned.
Reporting Relationships:
The Shipping and Receiving Clerk reports to the Facilities Coordinator.
Required qualifications:
Shipping and Receiving Clerk I:
• High School diploma or equivalent education
• One to two years’ experience as a shipping and receiving, or mail clerk
• Excellent organizational skills, including sorting and distribution of high volume of mail, as well as the ability to prepare items for shipment
• Competent in general productivity software like Microsoft Office, for tracking, labels, data entry, and reporting
• Heavy lifting of up to fifty pounds
• Certifications in shipping hazardous materials, dry ice, and lithium batteries
• CDL hazmat transport endorsement is preferred
Shipping and Receiving Clerk II:
• High School diploma or equivalent education
• Three to five years’ experience as a shipping and receiving, or mail clerk
• Excellent organizational skills, including sorting and distribution of high volume of mail, as well as the ability to prepare items for shipment
• Competent at general productivity software like Microsoft Office, for tracking, labels, data entry, and reporting
• Heavy lifting of up to fifty pounds
• Certifications in shipping hazardous materials, dry ice, lithium batteries
• CDL hazmat transport endorsement is preferred
Shipping and Receiving Clerk III:
• High School diploma or equivalent education
• Five to eight years’ experience as a shipping and receiving, or mail, clerk
• Excellent organizational skills, including sorting and distribution of high volume of mail, as well as the ability to prepare items for shipment
• Proficient at general productivity software like Microsoft Office, for tracking, labels, data entry, and reporting
• Heavy lifting of up to fifty pounds
• Certifications in shipping hazardous materials, dry ice, and lithium batteries
• CDL hazmat transport endorsement is preferred
