A research systems officer is required to provide user support for systems within the Research, Knowledge Exchange and Commercialisation Directorate (RKEC) at the University of Hull. This is a key position to maintain systems’ operational integrity and enhance the services that can be delivered by it. A trusted champion for our research systems, the post holder is expected to be the first point of call for all users, providing high quality support, ensuring that relevant systems are well maintained and configured, engaging with peers to ensure up-to-date knowledge of sector development and contributing to system integration and service improvement in a complex research environment. The post holder will report to the research systems project manager and will work across teams within ICT, Library, Human Resource, Marketing & Communication and Finance services.

The post holder will also support additional systems used within the RKECS directorate to deliver research and knowledge exchange activities across the University.

Specific Duties and Responsibilities of the post

The post holder will provide support, but is not limited to, the following systems/data repositories;

  • University’s nominated research information system, currently Worktribe. Modules include profiles, projects (pre-award and post-award), outputs, repository, REF, impact and contracts.

  • Bespoke databases used to support the Research and Innovation team

  • Bespoke SharePoint databases that support the management of key processes and externally driven research governance requirements

Users support

Provide support to all levels of user (i.e. specialist users, approvers, starters, etc) for the University Research Information Systems (currently Worktribe) and any additional systems managed by the RKECS directorate. This will include providing dedicated systems onboarding and managing access controls, setting up user profiles and ensuring appropriate permissions are in place in line with data governance standards.

Contribute to the delivery of system user training, system documentation and effective communication of this to users.

Systems support

Maintain and enhance system configuration and integration, ensuring platforms reflect current university policies, structure and approval workflows.

Monitor the day-to-day running of the nominated systems, ensuring they function efficiently and effectively to support the University’s research, knowledge exchange and administrative processes. This will include taking appropriate action to log all system incidents and user requests using the University’s nominated support software; ensuring that proactive action is taken to resolve incidents in accordance with relevant service level agreements.

Triage all incidents and where appropriate escalate them to the relevant teams in the University or the systems’ vendor; following established escalation processes.

Work with the University’s data exchange (UDx) team to monitor and maintain system integrations with the University’s nominated finance, human resource and web content management systems.

Work with the Research Systems Project Manager / Business Analyst to ensure the timely application of upgrades to the systems by reviewing new functionality, efficient regression testing cycles, system re-configuration and logging/tracking/management of system issues; liaising where necessary with the suppliers through the release, testing and issue resolution lifecycle.

Create and maintain technical documentation, knowledge base articles, and configuration records to support consistency and team resilience.

Contribute to and engage with the external system user community to help drive product development and system improvements. The user community includes both internal groups and other higher education institutions using the same nominated RIS products.

Data reporting

Produce and validate data extracts and reports from supported systems, using available reporting tools (e.g. in-system searches, SQL, Excel/Power BI or other tools as appropriate).
