Position Title: Event & Tour Sales CoordinatorDepartment: MarketingReports to: Director of Marketing & DevelopmentSalary Range: $18 per hourStatus: Part-Time, Non-ExemptClosing Date: Until FilledPOSITION OVERVIEWMarine Discovery Center (MDC) is a 501 (C) 3 non-profit organization that aims to protect and restore Florida’s coastal and Indian River Lagoon ecosystems through education, conservation, and exploration.The Events & Tour Sales Coordinator is a part-time role focused on the day-to-day coordination and execution that keeps MDC’s tours running smoothly and its events operating successfully. This operationally focused role develops and executes public and private tour bookings, manages event logistics from planning through wrap-up, and maintains the budgets and records that fuel organizational reporting and decision-making. The ideal candidate is highly organized, detail-oriented, and energized by bringing people together around MDC’s mission.KEY RESPONSIBILITIES- Tour Booking & Sales - Along with the Business Development & Partnership Coordinator, drive sales and bookings for boat and kayak tours, including public tours, private charters, group outings, and corporate experiences. - Develop and implement sales strategies to increase tour participation during peak and off-peak seasons. - Monitor sales performance, trends, and customer feedback to inform pricing, promotions, and new offerings. - Serve as a primary point of contact for group/charter tour inquiries, providing excellent customer service to prospective and confirmed guests. - Develop and execute seasonal promotions and sales initiatives in conjunction with the marketing director and Welcome Center coordinator. - Track booking data and customer feedback and communicate trends to leadership. - Manage relationships with hotels, Visit NSB, Visit FL, SEV Chamber of Commerce, HOAs, and other referral partners.- Event Coordination & Logistics - Plan, coordinate, and execute organizational events, including fundraising events, donor engagement opportunities, community programs, and partner events. - Manage event timelines, vendor relationships, venue arrangements, and supply procurement. - With the Volunteer Coordinator, plan volunteer and staff assignments to ensure smooth on-site event execution. - Support fulfillment of event sponsorship commitments in coordination with the Business Development & Partnerships Coordinator. - Evaluate event outcomes through attendance, revenue, and engagement metrics and prepare post-event summaries with recommendations for improvement.- Marketing Support & Communications - Collaborate with staff to support promotion of tours and events through digital, print, and community channels. - Contribute content ideas and event highlights that support broader marketing and fundraising goals. - Ensure all communications reflect MDC’s mission, values, and brand standards.- Administrative & Financial Coordination - Maintain accurate records of tour sales, event data, and partnership outcomes in CRM and booking systems. - Reconcile monthly, quarterly, and annual event financials in coordination with the Marketing & Development Director. - Prepare routine reports on sales and event metrics for internal leadership.OTHER RELATED FUNCTIONS- Demonstrate a clear understanding of MDC’s mission and the organization’s strategic vision.- Comply with MDC Employee Handbook guidelines and expectations.- Attend internal staff meetings.- Assume responsibility for professional growth and development.- Other duties as assigned by the Marketing & Development Director.WORK HOURS- 24 hours a week in a highly active office. The schedule can vary as needed. MDC is open 9:00 AM – 5:00 PM, Monday – Friday and 9:30 AM to 2:30 PM Saturday-Sunday. Evenings and weekends will be required for event execution.EDUCATION/TRAINING/EXPERIENCE- Associate or bachelor’s degree preferred; equivalent experience considered.- 1–2 years of experience in event coordination, customer service, sales support, or a related field.- Exceptional organizational skills and attention to detail with the ability to manage multiple priorities simultaneously.- Proficiency in Microsoft Office Suite; experience with booking or event management platforms a plus.- Strong interpersonal and written communication skills.- Positive, team-oriented attitude and willingness to take initiative.- Enthusiasm for MDC’s environmental education and conservation mission.ESSENTIALS THAT WILL MAKE YOU SUCCESSFUL- Excellent customer service and interpersonal skills.- Ability to multitask.- Ability to take initiative.- Positive attitude.- Superior attention to detail.- Ability to work well and collaborate with others.- Excellent verbal and written communication skills.- Highly organized.PHYSICAL REQUIREMENTS- Must be able to remain stationary part of the time at a computer.- Needs to move inside the office to access file cabinets, office machinery, etc.- Continually operates a computer and other office productivity machinery.- Must be able to communicate information and ideas so others will understand and exchange accurate information.- Occasionally work in outdoor weather conditions.EXPOSURE TO HAZARDS- Many MDC operations involve being on, in or near water. Additionally, chemicals are used for various laboratory tests, in aquaria, and in restoration work.
