Title: Human Resources Coordinator

Supervisor: Human Resources Manager

Pay Grade: 4 Pay Grade Range: $42,222 to $67,600

Starting Salary Range: $44,000 to $50,000

The Human Resources Coordinator performs a key role in administering Benefit and Payroll needs of the organization as well as participating in day-to-day employee inquiries and assistance. Primary duties include payroll processing, benefit administration, new employee onboarding, documentation of policies and updating same, related payroll filings, and daily interactions with all levels of employees on a variety of HR-related subjects.

Responsibilities/Tasks:

General Human Resources:

  • Support administrative functions such as compliance training, educational programs, new hire orientation and contribute to the team effort by accomplishing related tasks.
  • Serve as the first line of communication for employee relations queries and escalate when necessary to the appropriate people.
  • Maintain GMRI HR forms on SharePoint for staff including Department of Labor (DOL) postings for legal compliance.
  • Maintain employee performance review system and provide support and training to staff as needed.
  • Maintain personnel record filing system that meets the needs of GMRI and complies with current employment practices.

Benefits Administration:

  • Assist with the implementation, administration and communication of employee benefit plans.
  • Provide support and training to staff on all benefits programs as needed.

Payroll:

  • Perform all payroll entries, allocations, and reporting.
  • Obtain, enter and verify payroll information for processing within deadlines.
  • Maintain payroll systems.
  • Prepare all payroll reporting to meet internal and external requirements.
  • Maintain electronic personnel files including withholdings, benefit deductions, paid leave allocations and other related documents.
  • Process all new and terminating employees on payroll system and benefit plans and reconcile monthly benefit insurance bills
  • Prepare information on employee benefits, including vacation and holiday time, 401(k) plan, and health insurance.
  • Assist staff with questions related to payroll including leave accruals wages deductions, 401k and other pay related questions.

Additional Responsibilities:

  • Partner with marketing manager to incorporate GMRI marketing assets (language, images, merchandise, etc.) into the recruiting, hiring, and onboarding processes.
  • Submit social media tickets to promote active job postings.
  • Work in gmri.org content management systems to add and remove job listings, staff bios, and other hr-related information.
  • Coordinate photo shoots for new staff.
  • Solicit staff bios and related updates.
  • Contribute content to internal communications channels (e.g. digital signage, slides for staff presentations, slack posts, surveys, etc.)
Requirements

Requirements:

  • High school diploma or equal related experience.
  • Excellent verbal and written communication and interpersonal skills.
  • Payroll processing skills and the ability to manage confidential information.
  • Experience administering benefits programs.
  • Ability to multi-task, while giving attention to detail, and meeting weekly deadlines.

Qualifications:

  • Comfortable working with all levels of staff while maintaining excellent working relationships, both inside and outside the organization.
  • Demonstrable commitment to the highest standards of ethical and professional conduct.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Demonstrated ability to engage effectively at all levels of an organization and participate as a strong, contributing team member.

Gulf of Maine Research Institute offers a competitive salary and benefits package.

Salary: $44,000 to $50,000
