JOB TITLE: Data Coordinator

SUPERVISOR: Development Operations Manager

Pay Grade: 5 Pay Grade Range: $48,568- $77,792

Starting Salary Range: $50,000-$55,000

The Data Coordinator works to maximize the value of new constituents brought to GMRI and ensure their records are built with accurate and functional information to improve donor conversions and marketing outreach. The Data Coordinator role works with large data entry projects, maintenance, and manipulation across GMRI’s CRM (Raiser’s Edge/NXT) and e-communication system (MailChimp). The position provides critical support to the Development team and the organization in ensuring accurate record and gift processing, supporting data structures for marketing and communication systems, and building prospect research pipeline program and review.

Responsibilities/Tasks:

Support data quality and standards with consistent and thorough data collection and entry in Raiser’s Edge and MailChimp

  • Primary new record creator for all constituents, ensuring that each record upon creation or in a timely period thereafter, has accurate contact (mailing address, physical address, emails) and contextual data (origin, basic biography)
  • Connect constituents as appropriate to existing constituency (family, employment, personal relationships)
  • Maintain Philanthropy Services data protocol, process, and standards
  • Assist with new record creation for event registrants and attendees
  • Complete full record process of researching accurate contact information, specifically mailing addresses and verified email addresses
  • Support MailChimp reconciliation process as needed through new contact and record creation in both Raiser’s Edge and MailChimp
  • Support Data Administration Specialist in running suite of regular maintenance protocols
  • Support large data clean-up and design projects as directed by Development Operations Manager
  • Partner with Data Administration Specialist to write, review, and file process, structure, and procedural documentation
  • Partner with Data Administration Specialist and Development Operations Manager to create process for reviewing records to research and populate accurate contact information (mailing addresses, emails)
  • Work with Grants Team to complete regular organization contact review and updates
  • Support Development Operations Manager’s reconciliation of shared organization constituency communication, strategy, and activity
  • Manage LabVenture Parent collection, record creation, and MailChimp subscriptions
  • Support Tag maintenance and structure in MailChimp
  • Support Donor Engagement Coordinator in event registration
  • Support Annual Giving Manager and Marketing Manager’s marketing and fundraising communication and outreach activity in MailChimp and elsewhere
  • Reconciling external event lists and registrations with Raiser’s Edge and MailChimp; creating new records and updating existing records with new data

Assist with prompt and accurate gift processing from intake through recognition

  • Process all online gifts made through Fundraise Up
  • Support Data Administration Specialist in gift processing, specifically in peak-season
  • Work with Data Administration Specialist to update Fundraise Up as needed
  • Produce acknowledgment letters for signature, scanning, and filing

Partner with Development Operations Manager to build prospect research pipeline and data review

  • Work with Development Operations Manager to iterate and implement prospect research process and program that focuses on building pipeline with summaries and products
  • Maximize existing prospect research tools (iWave, Foundation Directory) to produce accurate prospect information and background for fundraisers strategy and action

Other General Responsibilities:

  • Support select fundraising events day of functions
  • Other duties as assigned
Requirements

Required Qualifications:

  • A.A., B.A. or B.S. with 1+ years related work experience
  • Experience in exporting and manipulating data in Excel and Word
  • Experience in online biographical collection and research
  • Experience working in a CRM, specific experience in Raiser’s Edge and MailChimp a plus
  • Ability and desire to learn new skills in Excel, Word, Blackbaud products, and MailChimp
  • Superb level of attention to detail, accuracy, and confidentiality
  • Flexibility to work occasional evenings and weekends
  • Interest in and inclination toward data analysis and streamlining processes
