Position Overview
CSA Ocean Sciences Inc. is seeking a sophisticated, highly organized Assistant Contracts Administrator to join our corporate headquarters in Stuart, FL. Operating in close partnership with the Lead Contracts Administrator and the Proposal Team, this critical, office-based role will be responsible for daily contract administration, compliance monitoring, and commercial insurance tracking. The successful candidate will serve as a vital operational bridge between project managers, finance personnel, business development, and executive leadership to protect corporate assets and ensure seamless project execution.

Core Responsibilities

  • Contractual Oversight: Support the review, routing, and execution of contracts, task orders, subcontracts, amendments, non-disclosure agreements (NDAs), and equipment rentals.
  • Risk & Compliance Management: Facilitate the issuance and receipt of Certificates of Insurance (COIs), maintain geographic tax requirement databases, and support of anti-bribery/anti-corruption policies.
  • Project Lifecycle Coordination: Coordinate project startup activities, track client contract modifications, manage funding adjustments, and assist with subcontractor onboarding.
  • Data & Template Control: Maintain digital document repositories, track option periods/expiration dates, and update standard commercial templates.

Required Qualifications & Experience

  • Education: Associate or bachelor’s degree in business administration, Finance, Legal Studies, Project Management, or a related discipline.
  • Experience: Minimum of two (2) years of professional experience supporting contract administration, procurement, legal administration, or project coordination.
  • Technical Mastery: Advanced proficiency in Microsoft Office Suite, specifically Word, Excel, Outlook, Teams, and SharePoint.
  • Core Competencies: Exceptional attention to detail, strict adherence to business confidentiality, and a proven ability to manage multiple high-priority deadlines independently.
  • Credentials: Possession of a valid U.S. Driver's License.

Preferred Background

  • Exposure to government contracts, IDIQ mechanisms, task orders, or commercial agreements.
  • Knowledge of commercial insurance, with an emphasis on the maritime industry
  • Industry experience within marine science, offshore energy, environmental consulting, or engineering firms.
  • Familiarity with enterprise software platforms such as Deltek, Acumatica, Salesforce, or Microsoft Dynamics.
