CSA Ocean Sciences Inc. (CSA) is a marine science and technical services consulting firm that provides a broad range of environmental, coastal, and oceanographic services in the U.S. and internationally. We are seeking an experienced professional to support the Programs group as an Assistant Project Manager (APM). Applicants should be ready to engage in a fast-paced, applied science company in the private sector.

The Assistant Project Manager (APM) provides direct support to Project Managers in the planning, execution, monitoring, and successful delivery of consulting and technical services projects. The APM serves as a key member of the project delivery team and is responsible for maintaining project controls, financial tracking, reporting, documentation, scheduling, and administrative coordination.

The APM acts as the operational backbone of assigned projects, ensuring that project information is accurate, current, and actionable. Working closely with Project Managers, Technical Leads, Finance, Operations, Procurement, and clients, the APM helps ensure projects are delivered safely, efficiently, on schedule, and within budget.

This role provides an excellent development path toward full Project Management responsibilities and offers exposure to project delivery, client management, commercial operations, and business processes across multiple projects and market sectors.

This position will be located at the Stuart, FL office; little or no travel is currently expected in this position.

Key Responsibilities

Project Controls & Administration

  • Support Project Managers with day-to-day project execution and coordination.
  • Maintain project documentation, schedules, budgets, forecasts, action logs, and project records.
  • Ensure project information within ERP and project management systems is accurate and current.
  • Track project milestones, deliverables, and key performance indicators.
  • Prepare project status reports, dashboards, and client reporting packages.
  • Monitor project compliance with contractual requirements and company procedures.

Financial & Commercial Support

  • Assist with project budgeting, forecasting, and cost tracking.
  • Monitor labor utilization, subcontractor costs, expenses, and project performance metrics.
  • Support monthly project reviews and financial reporting activities.
  • Coordinate invoicing activities and assist with accounts receivable follow-up.
  • Support change order preparation, scope modifications, and project documentation.
  • Assist Project Managers with project closeout and final financial reconciliation.

Procurement & Subcontractor Coordination

  • Support procurement activities including purchase requisitions, purchase orders, and vendor coordination.
  • Assist with subcontractor onboarding, documentation, and contract administration.
  • Track subcontractor deliverables, invoices, and project commitments.
  • Coordinate with vendors and suppliers to support project execution requirements.

Client & Team Coordination

  • Support client communications and meeting coordination.
  • Prepare meeting agendas, action items, and meeting minutes.
  • Coordinate activities among technical teams, operations, finance, and other project stakeholders.
  • Help maintain strong client relationships through timely communication and responsiveness.

Proposal & Business Support

  • Assist with proposal preparation, cost estimates, and administrative proposal requirements.
  • Support project startup activities following contract award.
  • Maintain project records and lessons learned documentation.
  • Contribute to process improvement initiatives and best practices development.

Safety, Quality & Compliance

  • Support compliance with company quality, safety, and operational procedures.
  • Participate in required training and safety programs.
  • Assist with project audits, documentation reviews, and compliance reporting.
  • Promote a culture of accountability, safety, and continuous improvement.

Additional Duties

  • Perform other project support and coordination duties as assigned.
  • Support multiple Project Managers and projects simultaneously.
  • Assist with special projects and operational initiatives as required.

Required Qualifications

  • Associate's or Bachelor's degree in Business, Project Management, Finance, Engineering, Science, Construction Management, or a related discipline.
  • Minimum 2 years of experience supporting projects, operations, accounting, procurement, or business administration functions.
  • Strong organizational and time-management skills.
  • Demonstrated ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, particularly Excel.
  • Ability to work collaboratively in a fast-paced professional environment.
  • Strong attention to detail and analytical skills.

Preferred Qualifications

  • Experience supporting consulting, engineering, environmental, construction, technical services, or professional services projects.
  • Experience with ERP, project accounting, or project management systems.
  • Working knowledge of project budgeting, forecasting, and financial reporting.
  • Understanding of contracts, procurement, and subcontract administration.
  • Experience with project scheduling tools.
  • CAPM, PMP, or other project management certification (or progress toward certification).
  • Experience supporting international projects, logistics, or multi-location teams.
