We are looking for a Administrative Assistant to join our team. Reporting to the Senior Director, Finance & Compliance, you will work to provide a high caliber of administrative support for a team of approximately thirty people.

The Administrative Assistant provides comprehensive administrative support to a team within Nova Scotia Power, ensuring the effective coordination of daily activities and adherence to corporate administrative and safety requirements. This role supports a high-volume, fast-paced environment and contributes to team efficiency through strong organizational, clerical, and coordination capabilities.


Key elements of this role include:

Administration & Coordination

  • Coordinate and arrange meetings and events.
  • Manage calendars and email correspondence.
  • Organize travel arrangements.
  • Maintain office supplies inventory and coordinate office mail and package handling.
  • Maintain filing systems and SharePoint sites.
  • Create and edit documents, spreadsheets, and presentations.
  • Perform other administrative duties as required.

Health & Safety Compliance

  • Ensure compliance with Occupational Health and Safety rules and regulations.
  • Track and support team safety program requirements.
  • Monitor and maintain records of training completion to ensure compliance.

Financial & Payroll Administration

  • Process invoices for payment.
  • Update payroll information.
  • Prepare and submit expense reports.

Data, Reporting & Analysis

  • Support various reporting activities, including budget preparation and variance analysis.
  • Maintain records of approvals.
  • Assist with Balanced Scorecard data tracking and reporting.

Education & Experience

  • College diploma in Office Administration, Business, or related field is required.
  • Minimum 2 years of relevant experience.
  • An equivalent combination of education, training, and relevant experience may be considered.

Technical/Job Specific Knowledge and Abilities

  • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
  • Experience with SharePoint, Oracle, and PeopleSoft.
  • Strong attention to detail and ability to maintain a high standard of accuracy.
  • Demonstrated sound judgement and ability to handle confidential information.
  • Strong interpersonal and communication skills.
  • Excellent organizational and multitasking abilities.
  • Ability to work both independently and collaboratively.
  • Self-motivated with the ability to take initiative.
