COMPENSATION: $68,640 - $72,500 / Annual
Position Summary: As a key member of California Trout’s regional team, the Regional Administrator will support the organization’s mission of ensuring resilient wild fish populations and thriving communities by providing operational, administrative, and financial support. The Regional Administrator will work closely with the Regional Director, project administrators, and staff to ensure efficient coordination of regional projects, events, and activities. The position’s responsibilities include, but are not limited to, the following:
Roles & Responsibilities:
Administrative Support
- Serve as the primary point of contact for administrative needs within the region.
- Coordinate and manage schedules, meetings, and correspondence for the regional team.
- Maintain organized records of contracts, permits, and other essential documentation.
- Assist with the preparation of reports, presentations, and project documentation.
Financial, Invoicing, and Grant Administration
- Monitor regional budgets and track project expenditures to ensure compliance with organizational and grant guidelines.
- Work with the Finance Team to process invoices, expense reports, and reimbursements.
- Support grant reporting by compiling necessary financial and project data.
- Assist in preparing and submitting grant proposals, as needed.
Project Coordination
- Assist project managers with logistical planning and implementation of conservation initiatives.
- Coordinate with external stakeholders, including partners, contractors, and vendors, to facilitate project success.
- Track and manage project timelines, deliverables, and milestones.
Event and Outreach Support
- Plan and coordinate regional events, such as community outreach initiatives, workshops, and fundraising activities.
- Manage event logistics, including securing venues, handling registrations, and coordinating materials.
- Represent California Trout at regional events, fostering relationships with community members and partners.
General Office Management
- Oversee day-to-day operations of the regional office, including supply inventory and equipment maintenance.
- Ensure adherence to organizational policies and procedures within the regional office.
- Support the onboarding of new staff and volunteers in the region.
Requirements & Qualifications:
- Bachelor's degree or higher in environmental science, natural resource management, business administration, or a related field.
- Proven experience in project administration, preferably in the environmental conservation or nonprofit sector.
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
- Proficiency in Microsoft Office Suite and project management software (e.g. Monday).
- Familiarity with budget management, grant administration, and environmental regulations is desirable.
- Passion for environmental conservation and commitment to California Trout's mission.
Physical Demands:
- Sitting and Standing: Spend extended periods sitting at a desk. Occasional standing may be required during meetings, presentations, or when accessing filing cabinets and office equipment.
- Computer Use: The role involves extensive use of computers and other office equipment for writing, research, data entry, and communication. This includes typing, using a mouse, and viewing screens for prolonged periods.
- Lifting and Carrying: While not a regular part of the job, there may be instances where you may be required to lift or carry boxes of materials, files, or equipment weighing up to 20 pounds, such as when organizing or transporting documents.
- Travel: Depending on project requirements and funding opportunities, this position may need to travel occasionally to attend meetings, conferences, or site visits. This could involve sitting for extended periods during transportation and walking or standing during events or fieldwork.
