About this exciting opportunity

Our Finance team have recently implemented Expense8 system for travel and expenses at AIMS. We are seeking a motivated and capable individual to join our team for a 6-month opportunity, with the potential for extension. In this role you will administer our travel and expense system, provide advice and support to staff on travel and expense processes, deliver refresher training sessions and manage the organisation’s corporate credit card program. This is an exciting opportunity to join the team at a pivotal time and play a key role in embedding new systems and processes across the organisation.

In this role you will play a key part in supporting staff across AIMS by taking ownership of end-to-end administration of whole of Australian Government (WOAG) travel arrangements for AIMS, the corporate credit card program and expense reimbursement processes, which will see you managing a variety of activities, including:

  • Administering the travel and expense management system (expense8), including CTM travel portal for user set up and maintenance, overseeing travel approval process, managing travel credits and travel insurance costs, and providing guidance and training to users;
  • Administering and reconciling corporate credit card import;
  • Creating invoices and receipts, preparing monthly journals, and performing bank reconciliations entries; and
  • Preparing compliance reports on corporate credit card usage and AIMS travel compliance and statistics.

About you

You bring demonstrated experience in travel management, ideally supporting high‑volume bookings, with a strong understanding of flights, routes, and sectors. This fast‑paced and varied role provides the opportunity to apply and further develop your travel management expertise alongside your knowledge of financial services in a practical and impactful way. Your familiarity with expense management systems will see you confidently manage corporate credit cards end‑to‑end, while your experience working with travel management systems enables you to provide end-user support throughout AIMS.

You are an experienced and capable administrator who is comfortable working independently across a range of responsibilities. You are highly organised, with strong planning and time‑management skills that allow you to coordinate competing priorities and deliver outcomes on time. You maintain confidentiality and professionalism at all times, and your strong attention to detail supports accurate review and verification of data. Equally, you are a clear and confident communicator who enjoys working collaboratively as part of a larger team to achieve shared goals. Experience using TechnologyOne and Expense8 (or similar systems) will be highly regarded.

  • AIMS AOF Level 3 salary ($76,454 to $86,147 per annum) plus 15.4% superannuation
