JOB SUMMARY
The Institutional Advancement Associate collaborates with the Institutional Advancement team and conservation staff to achieve the organization’s fundraising goals and helps to foster a culture of philanthropy within the organization. The Institutional Advancement Associate manages all team processes, such as deadline tracking, creation of templates for reports and proposals, CRM data entry and management, file management, updating commonly referenced documents, grant processing, maintaining and updating SOPs, supporting proposal and report development including proposal kick-off meetings, helping with donor research, and other duties as needed. The incumbent will support a team of grants officers working on foundation, corporate, and government grants, and collaborate with other teams across the organization to maximize efficiencies.
PRINCIPAL RESPONSIBILITIES:
- Provide administrative support to the Institutional Advancement team by managing all departmental administrative processes, such as processing grants, tracking deadlines, drafting acknowledgements, conducting prospect research, copy-editing documents, creating templates for reports and proposals, managing donor database (ROI Solutions), and scheduling meetings.
- Track departmental deadlines for all fundraisers and proactively identify upcoming deadlines.
- Utilize and streamline current processes to share grant proposal and reporting requirements and submission dates with Finance and Administration and Conservation staff.
- Collaborate with Finance and Administration staff to track incoming grant payments to American Rivers via check and Electronic Funds Transfer, notify team upon receipt, and record in CRM.
- Manage data integrity of donor database by processing gifts in coordination with Development Operations and Finance and Administration, running reports, and updating donor records and cultivation tasks.
- Lead Institutional Advancement team processes and procedures around database management, gift receipt processing, coordination with broader Advancement Department, preparation of donor briefings, donor stewardship and cultivation deadlines, and other tasks as needed.
- Provide administrative support for grant applications and reports as needed, such as collecting required attachments and organization information.
- Manage and complete special projects and other duties as assigned.
MINIMUM QUALIFICATIONS
- At least three years of relevant work experience, preferably in nonprofit fundraising, OR bachelor’s degree and at least three years of relevant experience.
- Strong written and verbal communications skills.
- Desire to learn and grow as a development professional.
- Experience with proposal writing and grant management.
- Experience using CRM software in a non-profit setting.
- Experience using project management software, especially to improve and refine current processes.
- Highly organized with strong follow-through and ability to meet deadlines.
- Excellent interpersonal skills and customer service orientation.
- Demonstrated attention to detail and organizational skills.
- Proactive and self-motivated, can independently manage assignments, as well as take the initiative in making suggestions and assisting others with projects.
- Proficiency in Microsoft Office applications and virtual platforms, such as Zoom.
- Prefer a candidate with some knowledge of and interest in conservation issues.
- Personal commitment to American Rivers’ mission and core values.

COMPENSATION
American Rivers offers marketable compensation that reflects the qualifications and experience of the selected candidate. The salary range for this position is $49,160 - $60,083 annually, depending on experience and qualifications. We provide a comprehensive Total Rewards package to our full-time, regular employees, including:

- Financial Security: After one year of service, American Rivers begins contributing a 3% employer contribution. There is no vesting schedule for employer contributions as employees are 100% vested upon participation.
