A.I.S., Inc. (AIS) is a national scientific services firm supporting maritime activities requiring certification of compliance with environmental regulations as well as collecting data for use by Federal, State, Municipal, and other government agencies along the US coastline. AIS seeks one full-time Logistics Coordinator to support multiple marine biological data collection and sampling programs along the Atlantic and Gulf Coasts.

Primary Functions:

The Logistics Coordinator will oversee logistical support functions for two business units implementing offshore mitigation strategies for offshore wind projects as well as fishery observation projects. This position will work Friday through Tuesday each week.

Duties/Responsibilities:

Assist with the management of employee logistics:

  • Maintain a contact list for and liaison with a network of vendors (hotels, ground transportation, airlines, etc.) to maintain professional relationships, negotiate rates and best value, book employee travel, and arrange for payment for employee travel.
  • Verify that all employee travel follows the Federal Travel Regulations (FTR) when required.

Direct employees to follow travel guidance and track employee travel status. Administrative tracking:

  • Update shared spreadsheets and documents that track employee labor, deployments on vessels, sea day accomplishments and other project metrics.
  • Analyze travel performance metrics and propose plans to improve efficiency.
  • Track CPR/First Aid and physical certifications and other required field staff certifications and direct employees to renew required certifications.
  • Assist with the employee evaluation process by tracking due dates, preparing the evaluations, and reviewing completed evaluations.

Assist with maintenance of field biologist gear:

  • Maintain equipment inventory spreadsheet.
  • Assemble gear for upcoming field staff deployments.
  • Inventory and clean gear returning from field.
  • Back up data collected on company issued equipment to auxiliary storage locations.

Training support:

  • Maintain spreadsheet of parties interested in employee trainings.
  • Provide support to attendees during trainings.

Other tasks as needed-for other AIS programs:

  • Respond to industry calls through AIS call center support number.
  • Other tasks as needed to support AIS projects and programs throughout the United States
  • Assist with task order management.
  • Review and approve expense reimbursement forms submitted by employees, organize records, and summarize information for invoicing.
  • Verify employee labor/activity submitted on timesheets by crosschecking communication and other records, employee timesheets, and complete data entry.
  • Candidates may be required to perform duties outside of their normal responsibilities from time to time, as needed.

Compensation: Candidates will be paid a salary to be negotiated and total compensation will vary depending on candidate experience. This is a full–time position. AIS benefits package includes health and dental insurance, vacation, sick and holiday benefits.

Minimum Qualifications:

  • Must be available to work Friday through Tuesday weekly.
  • Exceptional written and oral communication skills to maintain contact with staff, stakeholders, vendors, and customers.
  • Must be motivated, self-sufficient, independent, and a strong team player.
  • Must be able to work efficiently with a strong concern for completeness and accuracy.
  • Possess leadership ability and ensure positive team dynamics.
  • Proficient in MS Office Suite programs (excel, word, etc.).
  • Well organized with the ability to manage multiple tasks in an efficient manner.
  • Must have a valid driver’s license.

Preferred Qualifications:

  • B.S. Degree in a natural or life science.
  • Fishery Observer experience, the ability to become certified, or other relevant field sampling experience.

Travel:

  • Some travel may be required for which standard government travel reimbursement will apply.
