4ocean is seeking a highly organized and dynamic Executive Assistant to provide comprehensive support to our CEO. This role is pivotal in facilitating the executive's ability to effectively lead the company. The ideal candidate will be a skilled multi-tasker with a passion for sustainability and environmental conservation. You will handle a wide range of administrative tasks, manage outbound bookings for public appearances, and play a crucial role in personal content creation and brand management.

Key Responsibilities:

Administrative Tasks:

  • Manage all incoming and outgoing emails to ensure timely responses and follow-up.
  • Oversee the CEO's calendar, including scheduling meetings, appointments, and prioritizing the most sensitive matters.
  • Organize all aspects of travel and accommodations, ensuring seamless planning and execution.
  • Building presentations and pitch decks that efficiently communicate a message.
  • Handle miscellaneous administrative tasks as they arise, providing proactive support to streamline operations.

Outbound Booking:

  • Coordinate and secure the CEO’s participation in trade shows, conferences, panel discussions, and speaking opportunities.
  • Manage logistics for appearances, including travel arrangements and material preparations.
  • Seek out new opportunities for public engagements to enhance the CEO's visibility and the company’s reach.
  • Develop and execute strategic outreach through LinkedIn and other relevant platforms to initiate and establish partnerships..

Personal Content and Brand Management:

  • Oversee and manage the CEO’s personal social media channels, ensuring content aligns with both personal and company values.
  • Coordinate the production of podcast and newsletter content, including topic selection, guest booking, and distribution.
  • Build and maintain relationships with influencers, celebrities, athletes, and other key stakeholders to foster partnerships that enhance the CEO’s personal brand.

Project Management

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Develop a detailed project plan to track progress and ensure that all projects are delivered on-time.
  • Proven experience as an Executive Assistant or similar administrative role.
  • Exceptional organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Strong knowledge of social media platforms and content management.
  • Ability to handle confidential information with discretion.
  • Willingness to travel and flexibility in work schedule.
  • Interest in environmental conservation and commitment to the company’s mission.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration, Communication, or related field.
  • Experience in managing high-level relationships with stakeholders.
  • Proficiency in digital content creation and brand management.
