Overall Function

The Senior Assistant provides critical administrative and program support to the Healthy Communities Team under the supervision of the Associate VP, Healthy Communities. The Senior Assistant will contribute to a wide range of program activities across multiple projects, teams and time zones.

Key Responsibilities

Provide administrative support, including scheduling, meeting coordination and travel for the Sr. VP and AVP.

Assist with planning and logistics of team meeting and events, including coordinating and scheduling meetings with external partners.

Attend internal and external meetings and document, identify and track key takeaways, next steps, including resources or research needs.

Process expenses and American Express reports and submit program related invoices.

Support activities and scheduling for VP Communications and process invoices for the Marketing and Communications team.

Support the onboarding of new hires to the Healthy Communities team.

Support internal communication activities, including the tracking of program related earned media, analysis of the team’s social media and blog performance, and distribution of relevant health news.

Collaborate on preparation and distribution of program reports and other written materials.

Communicate effectively with internal and external contacts on the needs of the program by providing or obtaining information. Actively promote and ensure clear communication.

Develop., maintain and update document management systems and determine best practice solutions

Coordinate projects to ensure deliverables are given within specified time frame.

Participates in advancing EDF DEI goals in which people from all backgrounds and experiences feel connected, included, and empowered to address the environmental and organizational challenges in alignment with EDF values.

Qualifications

High school diploma and at least 4 years of work experience in a fast-paced, detail-oriented environment or bachelor’s degree and at least 2 years or experience in a fast paced, detail-oriented environment.

Meticulous attention to detail and organizational abilities.

Excellent oral and written communications ability.

Strong time management skills and ability to multi-task, prioritize and meet deadlines.

A proactive nature with the ability to work independently while coordinating with multiple teams in different times zones.
