Compensation: $66,560 – 70,000 annually

Position Summary:

This is a full‐time, exempt position reporting to the Annual Fund Manager.

Our database is central to the management of relationships with all constituents including individuals, foundations, government agencies and other partners. The Development Associate is responsible for managing and updating data in the CRM (Neon), booking all revenue in Neon, managing the donation process, from constituent and gift data entry of incoming online/offline donations/pledges to processing receipts/acknowledgements, data queries, reconciling accounts, as well as various administrative duties.

Roles & Responsibilities:

Gift processing and Acknowledgement:

  • Responsible for timely and accurate gift/pledge entry and tracking including: check receipt and deposit processing, and running credit card gifts
  • Process and record all donations (cash, check, online, EFT/ACH, stocks, gifts in kind, ticket purchases) in compliance with CalTrout Gift Processing policy utilizing Neon CRM.
  • Responsible for generating accurate, timely acknowledgment letters for all donations working with Annual Fund Manager and development staff, and Grants staff as necessary.
  • Maintains a strong electronic and paper filing and tracking system for gift and pledge documentation.

Database:

  • Keeps constituent files within Neon clean and up-to-date daily.
  • Reconcile Neon with Finance accounting quarterly; provide support and documentation to Finance regarding donations and donors.
  • Provides information and analysis related to database functions and efficiency.

Other Duties:

  • Respond to telephone and email inquiries with tact and professionalism and refer to appropriate staff as necessary.
  • Provide general office support and administrative assistance to the Development department staff for special projects such as planned giving outreach.
  • Assist with event needs as requested by the Development team.
  • Perform additional responsibilities as necessary.

Requirements & Qualifications:

  • 2 years’ experience with donor databases and data entry and administrative functions, preferably in a not‐for-profit development office.
  • Proficiency in Neon database or similar CRM and Microsoft Office.
  • Excellent verbal and written communications skills.
  • Ability to pay great attention to detail.
  • Ability to organize and prioritize work and to work independently with little supervision.
  • Motivated to contribute to the CalTrout team.
  • Excellent interpersonal skills.
  • Ability to handle confidential and sensitive materials professionally.

Physical Demands:

  • Mobility: The position requires the ability to sit for extended periods, particularly when working at a computer. Some movement around the office is required, including walking, standing, bending, and occasionally lifting.
  • Manual Dexterity: Must have the manual dexterity necessary to use standard office equipment, including a computer, keyboard, mouse, telephone, and printer. Frequent typing and handling of paperwork are required.
  • Lifting: Must occasionally lift and/or move up to 10-20 pounds, including boxes of materials, office supplies, and other related items. Assistance and reasonable accommodations will be provided as needed.
  • Vision and Hearing: Must be able to see and read documents, correspondence, and reports. Must be able to hear and speak effectively to communicate with colleagues, donors, and other stakeholders.
  • Communication: Must be able to communicate clearly and effectively, both verbally and in writing. This includes the ability to engage in phone conversations, attend meetings, and give presentations.
  • Work Environment: Work is primarily performed in an office setting with a quiet to moderate noise level. The role may occasionally require travel to off-site meetings or events, which may involve exposure to various environments.
