Title: Project Accountant (Hybrid)

Supervisor: Director of Finance

Compensation: $60,000 - $70,000

Position Summary:

Join an exceptional conservation team building cutting-edge solutions to complex natural resource issues across the state. The Project Accountant will reach across our six regional offices to support progress invoicing. Working from headquarters in San Francisco, the Project Accountant will be responsible for implementing and tracking invoicing and reporting - as part of the central Finance Team.

Create invoices for review and provide direct support to regions to ensure invoicing stays on schedule with complete backup documentation. Track retention, contract revenue to budget, outstanding invoice submissions and outstanding payments from agencies. Provide reports and analysis to team members and create tools for inter-departmental tracking and reporting.

Critical Job Functions:

  • Create timely invoices (and reports that accompany invoices) and ensure timely submission to agencies.
  • Communicate with agencies regarding invoicing inquiries or needs
  • Communicate with regional staff to ensure back up documentation is secured
  • Keep pace with growing invoice volume and identifies areas for efficiency
  • Work with Finance Team to track contract payments
  • Reconcile Contract Revenue to annual budgets
  • Track Revenue Retention for active invoices
  • Prepare A/R aging reports, including reconciling A/R to general ledger
  • Create and maintain client relationships to facilitate collections
  • Send requests for outstanding payments to funding agencies
  • Research issues and take initiative to resolve
  • Respond to various requests by funders to set up online submissions of official invoices and maintain the client’s vendor portals.
  • Participate in cross-functional teams for special projects that require collaboration across departments
  • Participate in the month-end and year-end closing processes.
  • Special projects as needed

Requirements:

  • Bachelor’s degree or equivalent experience
  • Quickbooks experience a plus
  • Accounting experience required, especially Invoicing and/or Fund Accounting
  • Strong people skills and the willingness to reach out to solve issues proactively
  • Strong organizational skills, ability to prioritize multiple complex invoices to meet deadlines.
  • Understanding of Indirect Cost Rate and diligence in cost recovery
  • Strong computer skills including advanced Microsoft Excel and File Sharing Tools.
  • Ability to manage positive and effective relationships with co-workers and program leaders.
  • Clear and effective written and verbal communication skills
